Job Purpose
Perform documents controlling activities efficiently, in timely manner and quality standards as per the defined policies and procedures to achieve departmental operational plans and developments.
Key Accountability Areas
Document Reception and Tracking
- Receive all types of documents by recording them in the tracking system, stamping them with the receiving stamp, including date and time, and dispatching them to the relevant staff in the department.
Document Distribution
- Distribute all kinds of documents among the relevant departments to ensure smooth communication and workflow.
Document Filing and Maintenance
- Manually file all types of documents in the department after completing their cycles, ensuring proper organization and accessibility.
In/Out Document Management
- Maintain all incoming and outgoing documents according to established systems, ensuring compliance and accuracy in documentation.
Indexing and Filing Systems
- Maintain indexing and filing systems for all project documents, ensuring they are organized for easy retrieval.
Secure Document Storage
- Keep documents and files in a specific, independent, and locked location under supervision and control to ensure confidentiality and security.
Customer Document Control
- Follow the customer filing and document control process by recording all customer-related documents in the tracking system, stamping them upon receipt, and dispatching them to the relevant staff.
