Job Purpose

To support project execution activities by coordinating documentation, assisting in planning and scheduling, and maintaining effective communication with internal teams to ensure timely and accurate delivery of project milestones.

Key Accountability Areas

Documentation and Handover Support

  • Assist in reviewing documentation received from sales during project handover
  • Maintain organized records of project documents and updates

Internal Coordination

  • Coordinate with internal departments to support design reviews, procurement inputs, and scheduling
  • Attend internal meetings to monitor project progress and highlight pending actions

Risk and Issue Monitoring

  • Track basic project risks and assist in updating risk registers
  • Escalate any identified issues or delays to senior engineers or the project manager

Planning and Execution Support

  • Assist in preparing and maintaining project schedules and follow up on key milestone dates
  • Coordinate with design teams to collect approvals and ensure alignment with the order scope

Customer and Factory Support

  • Support coordination during FAT preparation and factory delivery schedules
  • Assist in communication with customers regarding document requirements or testing arrangements

Administrative and Financial Tasks

  • Follow up on documentation needed for invoicing and financial approvals
  • Provide general support to project execution teams in resolving administrative or logistical blockers

Role Accountability

HR Proficiency:

  • Ability to obtain updated soft and technical skills related to the job

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Academic Qualification

Bachelor Degree in Business Administration or Any relevant field
