Job Purpose

To ensure smooth and timely customs clearance and delivery of shipments by coordinating with shipping lines, freight teams, purchasers, and clearance brokers. This role is responsible for tracking shipments, verifying documentation, and maintaining accurate system updates throughout the shipment lifecycle.

Key Accountability Areas

Shipment Monitoring & Coordination

  • Proactively follow up on the status of all shipments, including pre-arrival updates via arrival notifications from shipping lines, freight teams, or purchasers.
  • Receive and review complete shipping documents before shipment arrival to the port, ensuring accuracy and completeness.

Documentation Verification

  • Verify that the material descriptions in the shipping documents match the physical goods.
  • Ensure all document details are correct and aligned with customs requirements.

Clearance Preparation

  • Prepare the Clearance Order based on verified shipping documents.
  • Send the Clearance Order and all relevant documents to the customs broker promptly.

Customs Clearance Follow-up

  • Monitor under-clearance shipments with the broker and update the internal system with the latest status.
  • Receive and review daily shipment and loading reports from clearance brokers.

System Updates & Reporting

  • Update warehouse delivery dates in the system as needed.
  • Enter shipment cost details into the system upon receipt of broker invoices.

Financial Coordination

  • Submit advance payment requests for VAT and under-deposit amounts.
  • Prepare and submit demurrage/detention approval requests.

  • Ability to obtain updated soft and technical skills related to the job

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Academic Qualification

Bachelor Degree in Business Administration
