Operations Support Specialist

Job Purpose

Manage Iqama, work permit, and visa processes in compliance with government regulations, ensuring timely renewals, accurate documentation, and continuous employee legal status. Supports stakeholders through effective coordination, emergency handling, and financial processing while maintaining high service standards and operational continuity.

Key Accountability Areas

Iqama Renewal & Compliance Management:

  • Control and manage Iqama renewal processes via Muqeem.
  • Develop and maintain Iqama renewal tracking sheets.
  • Monitor and control shared Excel files for renewal follow-ups.
  • Address and resolve renewal notices and compliance alerts.
  • Follow up and close emergency Iqama cases efficiently.

Work Permit Management:

  • Review, issue, and follow up on work permit renewals.
  • Review and process new work permit issuances.
  • Ensure accuracy and compliance with Ministry of Labor requirements.

Visa & Exit/Re-Entry Processing:

  • Manage ERE visa processing, including:
    • Emergency
    • Extension
    • Final Exit
    • Cancellation
  • Prepare and finalize settlements for Exit & Re-Entry cases.
  • Handle night-shift processing for emergency Exit & Re-Entry cases.

Government Coordination & Special Projects:

  • Lead and control new projects related to Iqama renewals.
  • Follow up on profession change requests.
  • Process dependent separation payments in accordance with regulations.

Financial Transactions:

  • Execute required payments through banking systems for:
    • Exit & Re-Entry visas
    • Iqama renewals
    • Work permit fees
  • Ensure accurate documentation and timely payment processing.

Stakeholder Communication & Support:

  • Maintain daily communication with alfanar’s administration and staff.
  • Respond to inquiries, resolve issues, and provide operational support.
  • Manage professional email correspondence related to government services and employee matters.

Emergency Coverage & Duty Support:

  • Act as a replacement during emergency or vacant situations within the department.
  • Handle emergency cases during and after official working hours.
  • Monitor and resolve Iqama-related issues during night shifts when required.

HR Proficiency:

  • Ability to obtain updated soft and technical skills related to the job.

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Academic Qualification

Bachelor Degree in Human Resources or Any relevant field
