Job Purpose

The Secretary for the Deputy Managing Director plays a crucial role in providing high-level administrative Assistant and secretarial support to the Deputy Managing Director (DMD) within an organization. This position requires exceptional organizational skills, discretion, and the ability to handle sensitive information with confidentiality. The Secretary acts as a key liaison between the DMD and internal/external stakeholders, ensuring smooth communication and efficient workflow.

Key Accountability Areas

  • Administrative Assistance Support: Manage schedule, prepare documents, handle communication.
  • Communication Liaison: Primary contact for stakeholders, draft correspondence.
  • Confidentiality: Handle sensitive information with discretion.
  • Meeting Coordination: Schedule meetings, prepare agendas, follow up on actions.
  • Travel Arrangements: Arrange travel accommodations and itineraries.
  • Calendar Management: Efficiently manage the DMD's schedule, including appointments, meetings, and travel arrangements.
  • Document Preparation: Prepare and organize documents, reports, and presentations, ensuring accuracy and timeliness.
  • Meeting Coordination: Schedule and coordinate meetings, prepare agendas, and take minutes, facilitating smooth and productive meetings..
  • Task Prioritization: Prioritize tasks effectively, ensuring the DMD's priorities are met in a timely manner.
  • Project Assistance: Assist with special projects and initiatives as assigned by the DMD, conducting research and providing support as needed.

Role Accountability

  • Prior experience supporting senior management.
  • Strong organizational and communication skills.
  • Proficiency in MS office software.
  • Ability to work independently and as part of a team.
  • Discretion and integrity with confidential information.
  • Bachelor's degree preferred.

Academic Qualification
