SECTION MANAGER, TRAVEL SERVICES

Job Purpose

This position exist to take full responsibility of overall management of Travel Services section.  include Plan, develop ,execute and monitor its activities and related systems by optimum resources at efficient cost. Deliver as per company quality standards. Manage the risks and opportunities to bring the section to a further step

Key Accountability Areas

Travel Services Management: 

  • Manage the process of Air Ticketing, hotels, events, conference halls, airport transfers, car rentals…etc.
  • Ensure to deliver and meet all the travel services within the Service Level Agreement (SLA).
  • Manage travel section KPI’s 
  • Manage the creation of policies and procedures for travel section.
  • Manage the process of automating travel process (Business trips and Vacations)
  • Manage the travel operations and Invoice processing.

Cost Control:

  • Monitor day-to-day performance of travel agencies and ensure to avail the competitive rates.
  • Avail negotiated Corporate deals with major preferred airlines, hotels and tying up the corporate agreements with Embassies.
  • Manage the Request for Proposal (RFP) process and assist travel committee to appoint the professional travel management company as an authorized travel service provider.
  • Audit travel invoices submitted by the travel agencies.

Research and Development:

  • Manage the process of Collecting feedback from employees through surveys and personal visits to business unit managers.
  • Responsible to adopt the latest technology in the travel industry through authorized suppliers.         
  • Manage the delivery of new travel guidelines and restrictions to all the employees.

Reports:

  • Provide a high level of analytical data and reports on the total travel spend, which assist the concerned division and the higher management in taking decisions and building the new policies based on their actual travel spend.
  • Identify the potential airline routes, preferred hotels and the total travel spend.

Keeping Company Fare Limits:

  • Calculate Air ticket fare.
  • Fix the company fare limits to each country and destination.
  • Compare company fare with online fares.

  • Ensure availability of delegation of authority matrix to have sufficient delegations as per company policy.

  • Provide periodic work progress reports.
  • Responsible for monitoring and controlling budgets and expenses to achieve the optimum cost efficiency.
  • Organizational Development:

  • Develop the organizational structure according to the current requirements taking into consideration future and development plans.
  • Ensure availability of job descriptions for all job roles and deployment.
  • Business Process Improvements:

  • Develop, coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.
  • Should be conversant and able to navigate through IT solutions especially those relevant to his job and business.
  • Promote the automated systems and using them fully, to spread its culture.

  • Academic Qualification

    Bachelor Degree in Human Resources or Any relevant field
