SPECIALIST, FREIGHT

Job Purpose

To efficiently coordinate shipments, ensuring compliance with legal exemptions, accurate documentation, and timely delivery. This includes reviewing shipping requests, selecting the best freight forwarders, tracking shipments, and processing insurance claims, all while maintaining cost-effectiveness and service quality.

Key Accountability Areas

Shipping Request Review & Clarification:

  • Get the Inbound Delivery (IBD) from the purchase officer.
  • Clarify and correct any discrepancies in the Purchase Order (P.O.) immediately.
  • Ensure cargo description aligns with Alfanr’s legal duty exemption and exact material.
  • Follow exemption request process for unlisted items.

Shipment Details & Planning:

  • Gather details on packing, number of pieces, weight, volume, and readiness.
  • Decide on FCL, LCL, or consolidation based on shipment specifics.

Rate Comparison & Forwarder Selection:

  • Get rates or review contracts with forwarders.
  • Perform rate comparisons based on cost and transit time.
  • Select the most economical forwarder with the best service and timely delivery.

Freight Order Release & Coordination:

  • Get approval from the supervisor and release routing request to selected forwarder.
  • Ensure timely pick-up and movement with the shipper and forwarder.

Shipment Tracking & Documentation:

  • Ensure the shipment arrives within the set lead time.
  • Ensure shipping documents are issued according to Freight Order and regulations.
  • Provide documents to customs clearance personnel before arrival.

Insurance & Claim Processing:

  • Process insurance claims promptly.
  • Provide the insurance specialist with required documentation.

  • Ability to obtain updated soft and technical skills related to the job.

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Academic Qualification

Bachelor Degree in Transportation/Logistics or Any relevant field
