SPECIALIST, OPERATIONS SERVICES SUPPORT

Job Purpose

Responsible for managing the efficient integration of new hires into the organization, fostering a smooth transition during their onboarding process, and ensuring that departing employees experience a professional and compliant offboarding process. Ensure all necessary documentation and processes are completed accurately.

Key Accountability Areas

Onboarding Responsibilities:

Manage End-to-End Onboarding Process:

  • Conduct follow-ups across all hiring categories once the offer is approved to ensure a positive joining experience for candidates.
  • Coordinate transportation and accommodation arrangements with the relevant departments.
  • Coordinate and facilitate new hire orientation sessions, ensuring that all essential training and information are provided.
  • Ensure the timely completion of all necessary paperwork and hiring documents for all candidate types.
  • Review and validate all hiring documents to ensure smooth and timely completion for file number creation.
  • Oversee the preparation and provision of all required resources, including technology (laptops, accounts) and system access.
  • Ensure all services are performed in compliance with the established service level agreements for each area.
  • Distribute weekly advance analytical reports and dashboards for your role and division

Facilitate New Hire Integration:

  • Introduce new employees to company policies, culture, and operational expectations.
  • Act as the primary point of contact for new hires, offering guidance and support throughout their first few weeks.
  • Monitor the progress of new hires and address any concerns to ensure a smooth integration into the organization.

Gather and Act on Feedback:

  • Collect feedback from new hires to assess the effectiveness of the onboarding process.
  • Analyze feedback to identify areas of improvement and implement enhancements based on employee input and best practices.

Offboarding Responsibilities:

Manage End-to-End Offboarding Process:

  • Coordinate the offboarding process for employees departing the company, whether voluntarily or involuntarily.
  • Conduct exit interviews to gather valuable insights on the employee’s experience, both positive and areas for improvement.
  • Ensure the collection of company property (e.g., keys, laptops, equipment) and the revocation of system access in compliance with security protocols.
  • Ensure Compliance and Documentation:
  • Oversee the completion of all necessary paperwork related to the employee’s departure, including final paychecks, benefits, and tax documentation.
  • Maintain accurate records of offboarding activities to ensure compliance with company policies and regulatory requirements.

Maintain Relationships and Support Transitions:

  • Ensure that knowledge transfer processes are completed to facilitate a smooth transition of responsibilities and minimize disruption.

Role Accountability

HR Proficiency:

  • Ability to obtain updated soft and technical skills related to the job.

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Academic Qualification

Bachelor Degree in Human Resources or Any relevant field
