Job Purpose

Key Accountability Areas

  • Responsible to assist logistic officer for searching suitable tariff codes for the supplying material.
  • Responsible to coordinate with logistic officer to get the copy shipping documents.
  • Responsible for appointment of freight forwarder in time for the handling of the shipments (where applicable).
  • Responsible for follow up for obtaining expected time of departure and arrival of shipment from concern parties i.e. supplier and freight forwarders.
  • Responsible for follow up of clearance process for each shipment in an optimum possible time & cost saving manner.
  • Responsible for follow up for custom duty and other official charges request from clearing agent.
  • Responsible (jointly with logistic officer) for follow up of transfer of payment to clearing agent’s account with accounts department.
  • Responsible for checking the invoice for finalization of clearing agent PO and coordinate with concern account payable officer for timely payment to service provider.   
  • Responsible for placement of order for local transport in case of heavy lifts.
  • Responsible for verification of invoices of heavy lift.
  • Responsible for initiation of payments for heavy lifts in coordination with concern accounts payable officer.
  • Responsible for timely and cost effective local transportation arrangement of all shipment till delivery of consignment at respective project site.  
  • Responsible to process insurance claims for any short landed or damage occur to any material during air, sea or land transportation and further follow up with the concerned insurance companies for the same.   
  • Responsible for negotiating and preparing contracts with Freight Forwarders, Marine insurance Companies and local transporter. 
  • Responsible to assist Accounts payable by providing them the ETA for foreign currency booking requirement.
  • Responsible for coordination with finance dept. & project manager for timely payment to all logistics providers.
  • Responsible for preparing & updating progress reports for all transportation requests indicating shipping schedule status, shipping documents status, delivery confirmation, arrival notes,…….. etc.
  • Responsible for preparing & reviewing logistics providers’ performance status. 
  • Responsible for searching for new & competent logistics providers to develop a   consolidate base to meet current and future needs.
  • Responsible to keep updated with the changes in the customs rules, freight forwarding terms and others related to logistics

Management Accountability

  • Training of sub-ordinates and forming a team to get the work effectively.
  • Provide leadership, coaching, and direction to subordinates in all aspects of their work.
  • Delegate sub-ordinates in each respective assignment.
  • Ensures fair distribution of tasks to maintain morale, motivation of subordinates.
  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.
  • Resolve any related problems arise and escalate any complex operational issues.
  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.
  • Coordinate well-defined written systems, policies, procedures, and seeking automations opportunities as much as possible.
  • Comply to related policy and procedures and work instructions.
  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.
  • Academic Qualification

    Bachelor Degree in Transportation/Logistics
